Your Enquiry Process…

Do you get enquiries coming in from all angles? DM’s, Emails, Texts, Email Enquiries, What’s App? How many leads have you missed?

With Dubsado’s “Lead Capture” forms, you can have one form linked to your website (or as a stand alone web page if you don’t have a website yet) where your potential new couples can get in touch.

On this form, it is a great idea to cover things like - what are both partners names, when is their planned wedding date, do they have a set amount of guests in mind? When prospective couples fill out these questions, they are actually setting up their own profiles within your system without you lifting a finger!

You can have loads of different types of forms to collect every bit of info you need from your clients too!


Scheduling Appointments

Now this bit is up to you & how you want your client onboarding process to go. Either you can have a scheduler connected to your enquiry form so couples book in a call at the same time or if you prefer to review their enquiry form first, you can send a link to the scheduler after.

All of the scheduling is coordinated through Dubsado & links up with both your google cal (so no more back and forth trying to find a suitable time for you both) and Zoom (links are created for you). You can also set up email reminders, connect payments (if you have paid by the hour services for example) & manage when you are available.

If you have different types of appointments that your couples can book, you can have multiple schedules set up which means you can fully manage when you focus on different tasks (for example, only booking in connection calls on a Monday afternoon between 3-6).


Getting Paid & keeping on top of your finances!

With the latest enrolment of “autopay” your clients can literally set up direct debits with you which are paid to you in accordance with your payment terms! You can set up many different payment plans that either have fixed dates, or relative dates (eg; payment is due on 9th January 2024 OR 6 weeks before wedding day)

Within the Dubsado dashboard you can set financial goals, keep a track of them & see what invoices you have outstanding.

With their extensive reports, you can also keep a record of where your couples are coming from so you can see which method is bringing in the most income!


Electronically Signed Contracts

Your contracts can be part of a 3 step process. 1: send a proposal with different packages on, 2: sign the contract, 3: pay the deposit.

Using something called “smart fields” really helps to automate all of this process! You know I mentioned earlier that when your couples enquire they create their own profiles with you? They are also removing a HUGE chunk of your admin as you never have to type their names / wedding dates! This is also the same with contracts, if you use the 3 step proposal method, their contract will automatically be populated based on which package they choose!


Client Portals

A password protected area where your clients can log in & access all of the documents related to their wedding! All of their forms, invoices, contracts will be here, along with your contact information!

If you decide to assign them tasks (such as completing menu choices / finalising guest lists ETC) this can all be viewed in here too!

Any PDF’s or links that you may have can be shared in here too, so this is great when you are recommending supplier to them!
